Services

Tails of the West shall provide Client with the following services and/or products ("Services"): depending on clients requests. 

The Pet Sitter agrees to provide the following services for the Client's pet(s):

12-Hour Overnight Care with Mid-Day Visit:

  • The Pet Sitter will provide overnight care for a duration of 12 hours, including feeding, walking, playtime, and any necessary medication administration.

  • A mid-day visit will be conducted to ensure the pet's well-being, including feeding, potty breaks, and companionship.

30-Minute Drop-In Visits:

  • The Pet Sitter will conduct 30-minute drop-in visits for feeding, watering, potty breaks, and playtime as requested by the Client.

Dog Walks:

  • The Pet Sitter will provide dog-walking services for a duration of [Specify Duration, e.g., 30 minutes, 1 hour] as requested by the Client.

Transportation:

  • The Pet Sitter will provide transportation services for the pet(s) as needed, including vet appointments, grooming appointments, or other necessary trips.

 

Veterinarian & Emergency Care: 

The Owner agrees to allow Tails of the West LLC to obtain veterinarian medical treatment for the pet(s) in care, if, in its sole discretion it appears that the pet is ill, injured, or exhibits any other behavior that would reasonably suggest that the pet might need medical treatment. Tails of the West LLC will make every effort to contact the owner(s) and the emergency contact provided.

Medical treatment may require transportation of the pet to receive care and I hereby authorize such transportation. I agree that I am fully responsible for the cost of any such medical treatment. 

Medications/Vaccinations:

Tails of the West LLC will make every effort to administer medications as directed by the Client, but cannot be held responsible for any complications that may arise as a result. It is essential to thoroughly discuss any excessively shy or aggressive animals with medical problems, as they pose a serious risk.

For the safety of all clients, Tails of the West LLC will not service any pet that exhibits signs of contagious illness. Additionally, it is a requirement that all pets have up-to-date vaccinations and immunizations before service begins.

In the event that a Tails of the West LLC pet care provider is bitten or exposed to any disease or ailment from the client’s pet(s) due to lack of proper or current vaccinations, the Client will be held responsible for all associated costs and damages that may occur.

Liability:

Tails of the West LLC maintains liability insurance relevant to the services provided to the Owner. However, the Owner acknowledges and agrees that they are solely responsible for any harm, damage, or injury caused by their pet(s) while under the care of Tails of the West LLC, including during walks, pet sitting, or any other activities.

Additionally, the Owner understands that Tails of the West LLC is not liable for any damage to the home that is beyond the control of the Pet Sitter. This includes, but is not limited to, incidents such as water leaks, electrical problems, and acts of nature.

In such situations, Tails of the West LLC will make every effort to contact the Client and then the designated emergency contact to address the issue promptly.

Insurance Coverage:

Tails of the West LLC maintains liability insurance coverage to protect against potential risks associated with pet care services. Our insurance policy provides coverage for bodily injury and property damage that may occur during the course of our services.

Please note the following details regarding our insurance coverage:

Coverage Details:

  • Our liability insurance policy provides coverage for bodily injury or property damage caused by Tails of the West LLC's negligence or wrongful acts while performing pet care services. This coverage extends to incidents that may occur on the client's property or during off-site activities with the pet(s).

Extent of Coverage:

  • While our insurance policy offers protection for unforeseen events within the pet sitter's control, it is important to understand that coverage may be subject to certain limitations and exclusions. Tails of the West LLC is not liable for incidents beyond the pet sitter's control, including but not limited to acts of nature, unforeseeable pet behavior, or third-party actions.

Client Responsibility:

  • Clients are responsible for maintaining their own insurance coverage for their property and pets. Tails of the West LLC's insurance policy is intended to supplement, rather than replace, the client's existing coverage.

Claims Process:

  • In the event of an incident resulting in bodily injury or property damage, clients are encouraged to promptly notify Tails of the West LLC and provide all relevant details and documentation. We will assist clients in filing a claim with our insurance provider to the extent that the incident falls within the scope of our coverage.

Time Windows:

While Tails of the West LLC cannot guarantee specific time requests, we strive to accommodate our clients' scheduling needs to the best of our ability. To provide flexibility and ensure efficient service, we offer a timed window of 2 hours from the initial time request. This allows for reasonable flexibility in scheduling while maintaining a structured framework for our services.

We understand the importance of timeliness and will make every effort to arrive within the specified time window. However, factors such as traffic conditions, weather, and the needs of other clients may occasionally impact our ability to adhere strictly to the scheduled time.

In the event of any delays or changes to the scheduled time window, we will communicate promptly with the client to provide updates and ensure transparency throughout the process. Our goal is to provide reliable and convenient service while accommodating the dynamic nature of pet care scheduling.

Entrance Agreement:

As part of our standard procedure, Tails of the West LLC requires all clients to complete an Entrance Agreement prior to initiating services. To ensure the security of your home and peace of mind, we have established the following protocols:

Key Handling: Members of Tails of the West LLC do not retain keys for extended periods of time. Instead, we require clients to provide a lockbox with the key on the property or utilize a key pin entry system.

Home Security Access: Clients must provide the necessary home security access code(s) before services commence. This includes any codes required for entry into the property or to deactivate alarm systems.

These measures are implemented to safeguard the security of your home and facilitate seamless access for our team members during scheduled service visits. We prioritize the confidentiality and security of your property, and these protocols are designed to ensure the highest level of protection for both you and your pets.

Payment:

Tails of the West LLC provides convenient payment options through Time to Pet, our trusted platform for secure transactions. To streamline the payment process and ensure the smooth delivery of our services, we have established the following payment guidelines:

Credit Card on File:

  • A credit card must be on file with Time to Pet to facilitate seamless processing of payments for our services. This ensures that payments are processed efficiently and helps us maintain accurate billing records.

Accepted Payment Methods:

  • We offer payments through Venmo and Zelle for added convenience. Clients may choose their preferred payment method from these options when scheduling services or making payments.

Pet Sitting Stays and Overnight Pet Sitting:

  • A 50% deposit is required at the time of booking for pet sitting stays and overnight pet sitting services. This deposit helps secure your reservation and confirms our commitment to caring for your pets during the specified dates.

Drop-In Visits and Daily Walks:

  • Payment for drop-in visits and daily walks is due 24 hours before the scheduled service. This ensures timely processing of payments and allows us to focus on delivering exceptional care to your pets without interruption.

Recurring Weekly Walks:

  • For recurring weekly walks, payment is due at the beginning of the week. This upfront payment covers the week's scheduled walks and helps maintain consistency in our service delivery.

Holidays:

  • For services scheduled on holidays, full payment is required at the time of booking. Due to increased demand and limited availability during holiday periods, this policy ensures that we can accommodate your pet care needs effectively.

Holidays Include

  1. New Year's Eve - Dec 31st

  2. New Year's Day - January 1st

  3. Martin Luther King Jr. Day - Third Monday in January

  4. Presidents' Day (Washington's Birthday) - Third Monday in February

  5. Easter Sunday

  6. Memorial Day - Last Monday in May

  7. Independence Day (4th of July) - July 4th

  8. Labor Day - First Monday in September

  9. Columbus Day - Second Monday in October

  10. Veterans Day - November 11th

  11. Thanksgiving Day - Fourth Thursday in November

  12. Christmas Eve - December 24th

  13. Christmas Day - December 25th

Holiday Rate Increase:

In addition to the standard service fees outlined in this contract, please note that services scheduled on recognized holidays are subject to a 50% rate increase. This increase is applied to accommodate for the additional time and resources required to provide care during holiday periods.

Clients scheduling services on holidays acknowledge and agree to the holiday rate increase, which will be calculated as time and a half of the standard service fee.

Cancellation Fees:

We understand that plans may change unexpectedly, but late cancellations can disrupt our scheduling and impact our ability to serve all of our clients effectively. Therefore, we have established the following cancellation policies:

Dog Walks or Cat/Exotic Visits:

  • If a dog walk or cat/exotic visit is cancelled with less than 24 hours notice from the start of the visit time window, payment is required in full. This policy ensures that our pet sitters are compensated for their time and commitment to your scheduled visit.

Overnight Care:

  • For overnight care services cancelled with less than 2 week notice, a cancellation fee of 50% of the service price is required. This fee helps cover the costs associated with scheduling and preparing for overnight stays.

Services Scheduled on Holidays:

  • Please note that cancellations for services scheduled on holidays are non-refundable. Due to the increased demand and limited availability during holiday periods, we are unable to offer refunds for cancelled services on these dates.

We appreciate your understanding and cooperation regarding these cancellation policies. If you have any questions or need to make changes to your scheduled services, please contact us as soon as possible.

Inclement Weather Policy:

In the event of severe storms, snow/ice conditions, or other inclement weather situations, Tails of the West LLC is committed to ensuring the safety and well-being of your pets and home. Please review the following inclement weather policy:

Service Schedule Adjustment:

  • The service schedule may be changed, interrupted, or altered due to inclement weather circumstances. We will communicate promptly with you to discuss any necessary adjustments to your scheduled services.

Emergency Contact Selection:

  • It is requested that you designate a nearby emergency contact who can assist with your pets and home in the event that we are unable to reach your location safely during inclement weather conditions.

Credit to Account:

  • If we are unable to safely reach your location due to inclement weather, the amount paid for the affected services will be credited to your account for future use. This credit can be applied towards rescheduled services or future bookings.

Security Cameras and Recording Devices:

We understand that many of our clients utilize security cameras in their homes for various reasons, including monitoring their pets while they are away. Please review the following guidelines regarding security cameras and recording devices:

Disclosure of Camera Locations:

  • During the meet and greet session, please inform us of the locations of any security cameras inside or outside your home. This information helps us respect your privacy and ensures that we can provide care for your pets without interference.

Restrictions on Camera Placement:

  • Cameras should not be placed in private areas such as bedrooms and bathrooms. They should be positioned in common areas where pet care activities occur.

Overnight Visits:

  • For overnight visits, we kindly request that all cameras be turned off between the hours of 6:00 PM and 7:00 AM to allow for privacy during sleeping hours.

Hidden Camera Policy:

  • If hidden cameras are discovered in private areas, they will be disconnected. Cameras should be visible and placed in common areas to ensure transparency and respect for privacy.

Pet Behavior and Handling:

The Client acknowledges and agrees to disclose any known behavioral issues, aggression, or special handling requirements regarding their pet(s) to Tails of the West LLC prior to the commencement of services. This includes, but is not limited to, fears, anxieties, medical conditions, dietary restrictions, or aggressive tendencies.

Tails of the West LLC will make every reasonable effort to accommodate the needs of each pet; however, the Client understands that certain situations may require adjustments to the agreed-upon services. The Client agrees to provide clear instructions and guidance regarding the handling and care of their pet(s), and to inform Tails of the West LLC of any changes or updates to this information.

In the event of behavioral issues or challenging situations arising during pet care visits, Tails of the West LLC reserves the right to modify or terminate services if necessary for the safety and well-being of the pet(s) and the pet sitter. Tails of the West LLC will communicate promptly with the Client to discuss any concerns and work together to find a suitable solution.

Social Media Release:

At Tails of the West LLC, we love sharing the joy and happiness of our furry friends with our community. Please review the following regarding the use of photos or videos of your pet for advertising purposes:

Usage of Pet Media:

  • Photos or videos of your pet may be used by Tails of the West LLC for advertising purposes. This includes but is not limited to our website, social media platforms, emails, or printed advertisements.

Opt-Out Option:

  • If you do not wish for your pet's photos or videos to be used for advertising purposes, please notify us. We will respect your request and ensure that your preference is noted in your client profile.

Unsupervised Access to the Outdoors:

As part of our pet care services, Tails of the West LLC may provide unsupervised outdoor access for your pet(s). Please review the following terms regarding this practice:

Permission Granted:

  • By utilizing our services, the Pet Owner acknowledges and gives permission for their pet(s) to have unsupervised outdoor access during scheduled visits.

Liability Release:

  • The Pet Owner releases Tails of the West LLC from any liability or damages that may result from injury or loss of pet(s) during unsupervised outdoor time.

Opt-Out Option:

  • If you do not wish for your pet(s) to have access to unsupervised outdoor time, please inform us and make a note in your Time to Pet profile. We will ensure that your preference is respected during our pet care visits.

Future Services Authorization:

By signing this contract, the Client authorizes its validity for future services provided by Tails of the West LLC without the need for additional signed contracts or written authorization.

Service Termination:

Tails of the West LLC reserves the right to deny service or terminate service at any time due to safety concerns, financial issues, or inappropriate or uncomfortable circumstances.

Agreement Acceptance:

The Client acknowledges that terms and conditions outlined in this agreement are subject to change without prior notice.

By signing this agreement, the Client confirms that they have read the entire document, understand its contents, and agree to abide by its terms and conditions.
